We would like to thank you for partnering with Rapid Press for your printing and mailing needs and welcome you to the team. Since this may be your first time working with us we wanted to take a few minutes to go over what to expect during the production of your job.
Our printing process always begins with a quote. This is a chance for you to work with our team of Customer Service Representatives (CSRs) to discuss your printing project and calculate a cost and schedule to produce your project. During the quoting process, your CSR will make sure we have all the information we need to accurately price your project. At that point, we will determine the final specifications (specs) for your project including page counts, final quantities, paper type and weight, file submission, proofing methods, finishing and bindery procedures, the shipping of your project to its final destination and final payment for your project.
Rapid Press cannot begin proofing or production on your project until we have received an approved quote from you. To approve a quote either return the quote via email or fax with the final quantity circled or highlighted OR send an email with the specific quote number and final quantity approved in the body of your email. Quotes may not be approved verbally over the phone or in person. As the customer, you are responsible for ensuring our quote accurately reflects your project because it will be the basis for the project moving forward. We would like to thank you for partnering with Rapid Press for your printing and mailing needs and welcome you to the team. Since this may be your first time working with us we wanted to take a few minutes to go over what to expect during the production of your job.
Our printing process always begins with a quote. This is a chance for you to work with our team of Customer Service Representatives (CSRs) to discuss your printing project and calculate a cost and schedule to produce your project. During the quoting process, your CSR will make sure we have all the information we need to accurately price your project. At that point, we will determine the final specifications (specs) for your project including page counts, final quantities, paper type and weight, file submission, proofing methods, finishing and bindery procedures, the shipping of your project to its final destination and final payment for your project.

Let us take a moment to briefly describe each of the specs in this process in more detail...
- Page count can be tricky for people who have not printed before. For our intents and purposes, a page is any single side of a sheet. For example, an 11” x 17” sheet that folds to 8.5” x 11” is considered to be 4 pages; two exterior pages and two interior pages.
- The final quantity of the project is the number of pieces you would like us to produce including all pieces that mail or ship, and any additional samples you would like for your customer or design team.
- Paper type has two components, finish and weight. There are basically two main categories of paper finish, coated and uncoated. Coated sheets come with a gloss or satin finish (the latter may be referred to as silk, velvet, or dull as well). Uncoated sheets have no coating, similar to printer paper. For information on which paper type is best suited for your project talk to your CSR. The weight of the paper is a measure of the paper’s thickness and includes a variety of options in text and cover thicknesses.
- The preferred file type to be submitted for jobs is PDF with all fonts embedded and all images with at least 200 dpi resolution. Please submit your files as single pages (not spreads). We will impose them to best suit your project. The quickest and most secure way to transmit files to Rapid Press is through our FTP Server called Insite. Once we have received print-ready files we will begin the proofing process.
- At Rapid Press we have 4 types of proofs available.
a. The first is a digital proof. For this type of proof, after submitting your files to Insite you will receive an online digital proof for final approval. This proof will show all images and content as you have submitted it and should be checked carefully before final approval is given. Please be aware that due to differing monitor calibrations, the color on your screen may not match the final product. We print based on the color values in your file build.
b. The second type of proof is an imposition proof (improof). This is a physical proof that will show all content placement and pagination of your project. Improofs are printed on uncoated proofing paper and are not color calibrated. The colors may appear dull or over-saturated due to the paper type. This type of proof is to ensure content is correctly placed and the pages are in the proper order.
c. The third type of proof is color match prints. These are only suited to projects being produced on coated papers. This color match proof will be produced on calibrated coated proofing paper. It will not match the weight of your final project, however. Color match proofs will show how your project will print with regard to color and are used on press to ensure the color produced matches the color proofed to you. We cannot produce a match print for jobs printed on uncoated paper or for jobs using PMS colors.
d. Our final proofing type is a production proof. These are used during digital printing and are produced on the same press and production paper stock that will be used in your final project. What you see and feel on a production proof will exactly match your final product. For costs associated with each proofing type please consult your CSR. Once you have given final approval of your proofs we will begin production on your job. Please note that any changes needed to be made after final approval of your project are subject to the following charges: $10 per page for digital-only proofs; and $20 per page for improof/production. New color match proofs are not often required, but if so are $75 each. Also note that if your job has already been plated for printing or has gone to press additional charges for plates, paper, materials and press time will be incurred. - Rapid Press offers a variety of finishing and binding options. Finishing options can include perforating, folding, die cutting, round cornering, banding, padding and shrink wrapping. Binding options include saddle stitching, perfect binding, comb binding, spiral binding, wire-o binding and others. For a complete list of finishing and binding options please consult your CSR.
- Rapid Press is not only a full-service commercial printer but also a full-service mail provider. If some or all of your job is intended to mail out via the United States Postal Service, there are several procedures already included in your quote that will take place. The mailing list (either provided to us by you or purchased by us for you) will be examined and any minor formatting that is needed for processing will take place. Your list is run through the Coding Accuracy Support System (CASS, which standardizes the addresses to a USPS-preferred format and ensures that addresses are valid delivery points) and the National Change of Address database (NCOA, which identifies people or businesses who have registered a change of address with the USPS and automatically updates the record in the mailing list). Your mail piece will be addressed on our digital presses or our mailing equipment, depending on the scope of your job. If your job mails out using our commercial mailing permit, note that we do require payment for postage before the mail can be released to the post office (which may be different than the timeframe for paying production costs).
If you would like to receive the list of addresses that were move updated, the final "processed" list, or any undeliverable records, let your CSR or Mailing Manager know and we can provide that for you at no extra charge. Please note that any additional services that are requested or required beyond CASS, NCOA and basic mail processing (things like duplicate removal, Do Not Mail suppression, vacancy suppression, removing deceased individuals, extensive list cleanup/manipulation, re-processing a mailing list due to customer error, etc.) will incur additional charges of $75/hr. (with a $35 minimum charge). - During the quoting process your CSR will ask about the final delivery of your product. We can deliver locally to single or multiple locations within Tallahassee and have several options for shipping to areas outside Tallahassee. We can ship using various options including UPS, FedEx and via freight line. Your CSR will work with you to determine the best shipping method for your project and get all shipping details to accurately estimate the cost of shipping your project. Please note that final shipments that are different from your quoted shipments may be subject to additional charges.
- The final step in the production process is payment. New customers are required to pay for their product prior to final delivery of the product unless you have established credit with Rapid Press. This process can take several days up to a week, so if you would like credit extended please ask your CSR to begin the process while your job is being quoted. If you would like credit we will send you our credit application and personal guaranty. Please return your completed application as soon as possible so we can process it. Most customers are offered an invoicing option of NET 30 days when credit is extended. Rapid Press can also take payment in the form of check or credit /purchasing card. Please note any return checks will be subject to bank fees. Also note credit card payments may be subject to processing fees. We cannot accept cash for services.
